4. Quotes and Booking

All quotes provided by Summit Event Production are based on the information supplied by the client at the time of inquiry.

• Quotes are typically valid for 7–14 days unless otherwise stated
• A signed agreement or written confirmation is required to secure the booking
• A deposit may be required to confirm the reservation of equipment and services
• Bookings are confirmed only after deposit payment and contract confirmation

5. Payment Terms

Payment terms will be specified in the invoice or service agreement.

Unless otherwise agreed:

• A deposit may be required prior to the event date
• Remaining balance must be paid before or on the event date
• Late payments may be subject to additional fees

All payments must be made in Canadian Dollars (CAD) unless otherwise agreed.

6. Client Responsibilities

Clients are responsible for:

• Providing accurate event details including venue address, event schedule, and technical requirements
• Ensuring the venue allows installation of event equipment
• Providing safe access for installation and removal of equipment
• Obtaining necessary permits, approvals, or venue permissions when required

Any delays caused by incomplete or incorrect information may affect service delivery.

7. Equipment Use and Responsibility

If equipment is rented or installed for an event:

• The client is responsible for the safety of equipment during the event
• Equipment must not be tampered with or operated by unauthorized individuals
• Any damage, loss, or theft of equipment during the rental period may be charged to the client

8. Cancellation and Rescheduling

Event cancellations or changes must be communicated in writing.

Depending on the timing of cancellation:

• Deposits may be non-refundable
• Costs already incurred may be charged
• Rescheduling may be allowed subject to availability

Specific cancellation terms will be stated in the event agreement.

9. Liability

Summit Event Production will make every effort to deliver services as agreed. However, we are not liable for delays or failures caused by circumstances beyond our control, including but not limited to:

• Weather conditions
• Venue restrictions
• Government regulations
• Technical failures outside our control
• Force majeure events

Our liability is limited to the value of the contracted services.
